Key Responsibilities:

  • Administrative Support:
  • Answer and direct phone calls.
  • Organize and schedule appointments and meetings.
  • Maintain contact lists.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Clerical Duties:
  • Develop and maintain a filing system.
  • Order office supplies and research new deals and suppliers.
  • Book travel arrangements for garage staff.
  • Submit and reconcile expense reports.
  • Customer Service:
  • Act as the point of contact for internal and external clients.
  • Provide general support to visitors.
  • Handle customer inquiries and provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution.
  • Data Entry and Record Keeping:
  • Enter and update data accurately in various systems and databases.
  • Maintain records of garage operations, including maintenance schedules, inventory levels, and employee records.
  • Coordination and Communication:
  • Communicate effectively with other departments and employees to coordinate efforts.
  • Handle requests and queries from senior managers.
  • Compliance and Safety:
  • Assist with compliance and safety documentation and reporting.
  • Ensure all administrative functions adhere to company policies and procedures.
