Job Description

  • Handles Sales inquiries and passes sales leads to Account Executives based on per area of designation.
  • Works closely with both import and export operation to ensure the seamless flow of information to customer is provided.
  • Coordinates with operations regarding status of outbound and inbound shipment.
  • Advise clients regarding status of shipments as requested by shipper or consignee.
  • Facilitates daily correspondence with customer, agents and overseas offices.
  • Facilitates timely reply and action required to the email inquiries and feedback from customers and liaise with Account Executives or Sales Managers.
  • Provides monthly and/or weekly and or daily reports for monitoring of shipments as required by clients.
  • Maintains client files and all necessary documents of Sales Department to ensure effective record management system.
  • Coordinates airlines and shipping lines tariff rates with the Account Management Group.
  • Prepares quotations and other correspondence to clients.
  • Assist the Sales Director in cost analysis and preparation of sales report.
  • Send fax messages or e-mail and file all necessary documents of Sales department to ensure effective record management system.
  • Provides the Sales Director information regarding client’s comments and satisfaction to UF’s services.
  • Ensures specs preparation, approval and distribution.
  • Executive procedure to meet company policies and meet quality service expectations and productivity levels.
  • Receives, collates and files documents for easy retrieval.
  • Ensures availability of all published rates and departmental forms like Credit Application Form, Account number Request and other Sales forms Requests.
  • The Sales Coordinator must ensure availability of Sales related forms eg: CAF, Account number request form, sales kits, internal corporate forms such as leave forms, materials request form, manpower request form, etc.
  • Accommodates client inquiries.
  • Coordination with  Sales Manager and Account Executive on phone inquiries and post sales inquiries of customers.
  • Records time in and out and leave of absences of all Sales personnel and forward summary report to Payroll and Corporate HCM.
  • Performs coordination errand such as sourcing and reservation of available conference rooms for Teleconference and department meetings
  • Coordinates with Procurement Department for requisitions of office and customer supplies.
  • Functions as the general custodian of the department’s file.
  • Performs and or implements quality system and ISO related activities.
  • Submits Sales Reports to Manager.
  • Perform functions as assigned from time to time.

Qualifications/Requirements

  • Graduate of any four (4) year course. Fresh graduate is acceptable. 
  • Excellent oral and written communication skills. 
  • Must be able to work well under pressure and adapt to changing conditions
